Tracking invite status in SignNow helps you stay informed about every step of your signing process. Whether you’re managing consecutive signing (where each signer acts in order) or simultaneous signing (where all signers can sign at once), monitoring progress ensures no step is missed. By checking invite statuses, you can see which recipients have viewed, signed, declined, or haven’t responded yet — helping you follow up quickly, keep deals moving, and maintain a smooth, transparent signing workflow.
The invite status is displayed next to the recipient's email directly on sent documents located in your Documents folder or in Quick Access. This allows you to quickly see the current progress of each invite without opening the document.
Invite Statuses Overview
You can track the progress of each signer in your document through detailed invite statuses. These updates appear in the Documents and Quick Access folders.
The statuses you can check include:
Invite Step Pending – The recipient’s turn to sign hasn’t started yet because the previous signer hasn’t completed their step.
Invite Email Sent – The signing invitation has been successfully sent to the recipient.
Invite Email Opened – The recipient has opened the email containing the signing invitation.
Invite Link Clicked – The recipient has clicked the link in the email to access the document.
Cannot Deliver Invite Email – The invitation couldn’t be delivered, usually due to an invalid or inaccessible email address.
Invite Expired – The signing period has ended, and the recipient can no longer access the document.
Declined to Sign – The recipient has chosen to decline the signing request.
Completed – The recipient has finished their signing or assigned action.
View Only – The recipient has received the document for viewing only and cannot take any signing actions.
If a recipient has a payment request, a wallet icon will appear next to their name to indicate whether the payment has been completed or not.
If a recipient has an authentication requirement, an additional authentication icon will be displayed.
Status Updates and Visibility
Statuses update automatically as recipients take actions — except for those assigned a View Only role.
Recipients with a SignNow account can also see the invite statuses of other recipients on the same document, except for the following:
Recipient opened the email
Recipient clicked on the invite link
Email was not delivered
