Enable and Use Signature ID/Stamp in SignNow

Show a unique Signature ID on signed PDFs for audits and verification.

Updated over 2 months ago

In eSigning, the audit trail proves who signed, when, and how. Many teams also want a visible cue on the document itself for quick verification—especially in audits, compliance reviews, or when printing. The Signature ID/stamp adds a unique identifier to completed PDFs so reviewers can instantly confirm authenticity and cross-check the file against its History/Audit Log.

You can enable this at any time:

  • Go to Profile icon → My Account → Additional Settings.

  • Turn on Display signNow e-signature ID.

Once enabled, completed documents will include the Signature ID/stamp (documents finished before enabling aren’t retroactively changed). The full, legally relevant detail remains in the History/Audit Log; the visible stamp simply speeds up manual checks and reduces ambiguity when files are shared or printed.

The Signature ID/stamp appears only for fillable Signature fields that are completed by an assigned recipient during the signing workflow. A Fill Out Now Signature (self-signing while preparing the form) won’t include a Signature ID/stamp.

Why? The Signature ID is generated at the moment of completion by a designated signer and is tied to the document’s History/Audit Log event (who signed, when, and how). A Fill Out Now Signature is added by the sender outside the recipient workflow, so there’s no signer-completion event to anchor the visible ID.

If you need a stamped signature for your own signing, assign a fillable Signature field to yourself and send the document to your own email. When you complete it as the recipient, the Signature ID/stamp will be applied.*}

Visibility & downloads: The Signature ID/stamp is visible in SignNow and on downloaded PDFs once the document is completed. In SignNow’s viewer, you can temporarily hide it by clicking Hide Verification next to the signature.

SignNow uses Coordinated Universal Time (UTC) for all timestamps. UTC is a time standard, not a timezone like Greenwich Mean Time (GMT). While both show an offset of +00:00, GMT is a timezone with historical variations, whereas UTC never observes Daylight Saving Time.

For consistency and compliance, SignNow formats dates/times according to ISO 8601 and RFC 3339 (among other industry requirements). Using UTC ensures clear, unambiguous records across regions.

SignNow Signature ID/stamp is located below the signature and cannot be dynamically repositioned. If you need the Signature ID/stamp to be positioned on the left/right side of the signature or above it, contact SignNow Support to discuss available options for your plan and use case.
