Free User Seats Logic

Grow your team without growing your bill.

Most eSignature and document software charges you every time you add a person to your account — another seat, another monthly fee, another line item to justify. SignNow doesn't work that way.

Every paid SignNow plan comes with Unlimited Free Seats: add one person or one hundred, and your subscription cost doesn't change because of it. You pay for the signatures you actually collect, not for the number of people who happen to have a login. That's a meaningful difference if you're comparing tools, budgeting for a growing team, or just tired of "contact sales" pricing every time headcount changes.

What "Unlimited Free Seats" Means

Every paid SignNow plan (Business, Business Premium, and Enterprise) lets you add as many users to your account as you need, at no extra cost per user. There's no per-seat fee, no "buy more seats" upsell, and no cap on how many people you can bring onto your subscription.

Instead of charging by seat, SignNow charges based on how many signature invites your account sends. Adding a user gives that person their own login and Workspace access — it doesn't add a recurring cost by itself. This is often called SignNow's seat-free (or usage-based) subscription model, and it's a deliberate departure from the way most SaaS document tools price their plans.

Why This Actually Matters

A seat-free model isn't just a pricing quirk — it changes how you can run your team:

  • Predictable costs as you scale. Hiring five new people, spinning up a seasonal team, or onboarding a new department doesn't mean a bigger invoice. Your bill is tied to document activity, not org chart changes.

  • No seat math. You don't have to guess how many licenses to buy up front, track who's "using" a paid seat, or deactivate someone just to free up a slot for a new hire.

  • Everyone gets full access. There's no cut-down "viewer" tier to push people onto to save money — every user you add can send, sign, and collaborate using the same core SignNow features.

  • Better cross-team adoption. Because adding a user is free, teams tend to actually invite the people who need access (HR, sales, legal, ops) instead of sharing one login or routing everything through a single "document person."

Are Additional Users Really Free?

Yes. Adding a user to your account doesn't cost anything extra — you're not billed per seat, and there's no limit on the number of users you can invite.

Here's what stays free and what's usage-based, so there are no surprises:

  • Free: Creating additional user accounts (seats) under your subscription, at any time, in any quantity.

  • Usage-based: Signature invites. Your plan includes 100 signature invites per user per year, shared across your account. If your team sends more than that, additional invites are billed at your plan's standard rate.

📝 In short: you're paying for documents sent, not for people added. A 20-person team that rarely sends documents can cost less than a 2-person team that sends hundreds of invites a month.

To put that in perspective: a lot of eSignature tools price per user, per month — so a 20-person team could easily be paying for 20 individual licenses before a single document goes out. With SignNow's seat-free model, those same 20 people cost you nothing extra to add; your spend simply follows how many signature invites the whole team sends over the year.

How to Add Users to Your Account

Only a Workspace Admin can add new users. Here's how:

  1. Click the account icon in the top-right corner of your SignNow dashboard and select My Account.

  2. Open the Administration section and go to the All Members tab.

  3. Click Invite (or the equivalent add-user button) and enter the new user's email address.

  4. Assign a role — Admin or Member — and send the invite.

You can invite users one at a time or assign roles to several people at once. The invited user receives an email with instructions to activate their account and join your Workspace — most people are up and sending documents within minutes.

📝 If a person you invite already has an active SignNow subscription of their own, they'll join your Workspace and Team Space only — they won't be double-billed or moved off their existing subscription.

What Added Users Can Do

Every user you add is assigned one of two roles, which determine what they can see and manage:

  • Manages Workspace settings and branding

  • Invites, assigns, and changes user roles

  • Views the Activity Dashboard and usage stats for the whole Workspace

  • Manages the Team Space, billing, and subscription


  • Sends, signs, and manages their own documents

  • Accesses shared files and templates in the Team Space

  • Works under the Workspace's settings and defaults

  • Can be a member of one Workspace at a time

In both cases, added users get full access to core SignNow features — sending documents for signature, signing, using templates, and collaborating through the shared Team Space — without needing a separate subscription, a "lite" account, or a paid upgrade of their own.

Use Cases: Where Unlimited Seats Pay Off

HR and onboarding. A 5-person HR team needs to send offer letters, NDAs, and policy acknowledgments. Instead of buying extra seats or a bigger plan just to give each person access, you add all 5 as Members at no additional cost. Each person sends and tracks their own documents, and shares templates through the Team Space. Your subscription is only affected if, combined, the team exceeds its included invites for the year — and even then, you only pay for what's used, not for the extra people.

Sales teams. Every rep can have their own account to send contracts and quotes under their own name, instead of funneling everything through one shared "sales ops" login. That means faster turnaround on deals and a clear audit trail of who sent what — with zero incremental seat cost as the team grows.

Multi-location or franchise businesses. A company with branches, agents, or franchisees can bring every location's staff onto one central subscription. Admins get visibility across the whole account, while local staff work independently — without negotiating a bigger contract every time a new location opens.

Seasonal and project-based teams. Bringing on contractors or temporary staff for a busy season? Add them as Members while you need them, and there's no ongoing seat fee to remove later — you're never paying for access you're not using.
