Add expiration dates & reminders to signature requests

In SignNow, you can set an expiration date and reminders so recipients can only access and sign a document within a specific timeframe and are reminded of a pending invite. Once expired, the invite link is disabled, and the document can no longer be signed.

This is helpful when:

  • Contracts must be signed by a fixed deadline.

  • Event or registration forms have a cutoff date.

  • Compliance documents need strict timing for approvals.

Setting expiration dates keeps your signing workflows timely, secure, and aligned with business requirements.

Expiration dates and reminders are only available for email invites.

Email invites (freeform or role-based) let you set a custom expiration date (up to 180 days) and configure automatic reminders — both during sending and after.

Invite Links and Bulk Invites do not support expiration dates or reminders. Invite links remain active indefinitely until deactivated manually. Bulk invites have no advanced settings — reminders, password protection, expiration, and redirect settings are all unavailable, and template-level settings do not carry over.

1. Click Invite to Sign on the document you’ve prepared for signing. If you are using a template, select Single Invite in the dropdown.

2. On the Invite Page, click on the gear icon next to the recipient to open the Settings panel. Click the Set individual Expiration and Auto reminders for this recipient checkbox to expand on the expiration and reminders settings.

3. By default, invites expire after 30 days, but you can extend the expiration period to up to 180 days. Recipients will be notified about the expiration in their invite email.

To ensure documents are signed on time, set up reminders in the same Advanced Options menu and choose when they should be sent.

4. Click the Send reminder before invite expires to send a reminder X days before the invite expiration. Click Repeat reminders every to set up recurring reminders.

Optional: Use Apply Authentication and Settings to All Recipients to quickly apply the same expiration date and settings to all recipients, saving time and avoiding repetitive setup.

Even if the invite has already been sent, you can still change the expiration date by clicking on the pending signer's email under the document and selecting the Update Recipient Settings option.
