Good names tell recipients what they’re signing, help teams find files quickly, and keep exports/audits tidy. Use dynamic naming when you scale (invite link/Bulk Invite/Kiosk Mode); for one-offs, use the manual rename described in this article in editing mode or from the folder.
Practical patterns you can reuse:
HR onboarding:
Onboarding — {{Employee Name}} — {{Start Date}}Sales NDA:
NDA — {{Company}} — {{Meeting Date}}DPA/Compliance:
DPA — {{Account ID}} — {{Region}}Vendor packet:
Vendor — {{Supplier Name}} — PO {{PO Number}}Real estate:
Lease — Unit {{Unit}} — {{Tenant}} — {{YYYY-MM-DD}}
Dynamic names can pull from template fields or Pre-filled Text (e.g., IDs, regions). Use consistent prefixes, include a unique identifier, and avoid special characters that the system may reject.
Manual Renaming
In your SignNow folder/-s:
1. Click on the three dots menu of the needed document and select Rename.
2. In the pop-up window, enter a new name for your document and click Rename.
In the editing mode:
1. Open the form in editing mode by hitting the document/template's name.
2. Navigate to the top left side of the page and hit the form's name to rename it. Once you are done, hit the green checkbox at the right side of the new name.
{*tip: You can also rename every individual form in the group template by hitting the Edit option at the top right side in the editing mode.*}
On the Invite Page:
If you are using the Invite to Sign option on a document, you rename the document on the top left side of the page.
If you are using the Invite to Sign option on a template, you rename the copy of the template that you are currently sending out, while the template's original name remains the same.
📝 A document can be renamed only before it's been sent for signing or is in Signed status.
