Signing a Document You Receive in SignNow

Open, fill out, and sign documents securely from any device.

Whether or not you have a SignNow account, you can sign any document sent to you via a signature request. You’ll receive an email notification with access to the document—just follow the steps below to sign your first one.

📝 Do not proceed with signing the form unless you can verify the document originator. If you suspect the invite was sent to you by mistake or is unsolicited, please report it to SignNow support at support@signnow.com.

SignNow Web/Desktop

1. Click the View Document button in the email you received to open and access the signing session.

2. Do one of the following to start filling out the form:

  • hit the orange Start button to the left side of the page;

  • hit the Start Filling button at the bottom side of the page;

  • click on the first field placed on the document to start filling it out.

You can use the Next Field or Fill In buttons to navigate to the next field during the signing session. Alternatively, you can use your mouse/touchpad to click the next field to fill it out or hit the Tab button on your keyboard to navigate to the fields that haven't been filled out yet. You can also check your current progress at the bottom of the page—X out of X fields left.

📝 Some fields may have additional configurations applied by the sender prior to sending the document invite to you. Such configurations include making the field required/optional or setting specific validation, requiring you to enter the data in a specific format (phone number, email, date, etc.). If you believe that the sender made an error during the document setup, which prevents you from completing the form, please contact them directly by hitting the Contact Sender button in the email you received.

To add your signature to the document, navigate to/click on the Signature field to open the new pop-up. Here you can type your name, upload a picture of your signature, or draw it using your touchpad or mouse. When you are done customizing your signature, hit the Sign button to add your signature to the form.

If you'd like to change your signature after placing it on the document, you can click the trash can icon or the signature field itself to delete and re-add the new signature.

Once you have filled all the required fields, hit Finish to complete and close the document at the bottom side of the screen.

Saving Progress as a Draft

If you need more time to double-check something before completing the document, you can save your current progress in the signing session settings. Hit the More Actions button at the top right side of your screen and select the option to Save Progress and Finish Later.

📝 The option to save progress as a draft is unavailable for guest invite links (invite links generated from a template).

Document access

Depending on how you've received the invite, you will be able to get your signed document copy automatically via email. However, if you have signed your form via a guest invite link, you will need to manually get your document copy directly from the Document signed page, as shown below. Alternatively, you can contact the document sender directly and ask them for a copy of the signed form.

📝 If you have a registered SignNow account and have received an invite to an email associated with your SignNow account, you will also be able to see the signed document directly in your SignNow account. Even if you do not have a SignNow account, you can sign up via the free trial link to review the document/-s you've signed via this email.

SignNow Mobile Web

1. Click the View Document button in the email you received and select the browser that you want to open the signing session in.


2. At the start screen, select the language of the signing session and hit Get Started.




3. Zoom in and tap on a specific field that you want to fill out; alternatively, you can tap on the Start Filling button for field navigation.

4. Continue tapping on the field that you want to fill out next; alternatively, tap on the keyboard icon below to open up the Next button for field navigation.


5. To add your signature on the form, tap on the Signature field and select one of the options to type in, draw, or upload a photo of your signature.

You can also change or delete the signature you've added to the form by tapping on the Signature field again, as shown below.

6. Once all the fields have been filled out, tap on the green Finish Signing button at the bottom of the screen.

Saving progress as a draft

If you need more time to double-check something before completing the document, you can save your current progress in the signing session settings. Tap on the document name at the top left side of the screen and select the option to Save Progress and Finish Later.

SignNow Mobile App for iOS/Android

Depending on the document sender's settings or your personal preferences, you might be redirected to the SignNow mobile app for iOS/Android. Using the app for signing is entirely free and does not require you to sign up unless required by a certain compliance set by the document sender.


The process of signing the document on the mobile app is fairly similar to the mobile desktop version of the signing session—zoom in to set the view on a certain field and use Next buttons or arrows for field navigation.


To sign the document, tap on the Signature field. If you've signed a document through SignNow before, the signature will be auto-populated. You can tap on the signature again to prompt the gear icon to Add Signature.


You can draw, type or upload a photo of your signature on the mobile app similarly to the web version of SignNow. You can also switch between different drawing styles (pen or pensil) and colors (black, blue, grey).


Once you've filled out all fields on the document set as required by the sender, tap on Done or Complete buttons highlighted below to finish the signing process.
