Export All Documents as a Single User or Workspace Administrator

Exporting and archiving all team documents in SignNow allows administrators to keep their organization’s files centralized, secure, and easy to access. Whether you need to back up documents for compliance, migrate data, or maintain a complete audit record, exporting ensures nothing is lost or scattered across individual accounts.

This feature is especially valuable for larger teams or regulated industries that require consistent document storage and retrieval practices. By exporting and archiving all signed documents to a single location — such as a cloud drive or secure company server — teams can streamline recordkeeping, simplify audits, and maintain long-term control over their digital assets.

With SignNow’s export and archive tools, your team can manage large volumes of documents efficiently while ensuring compliance, transparency, and data security across the entire organization.

Cloud Export Setup in My Account

To enable cloud export, click the profile icon on the top right to access My Account. From there, switch to the My Cloud Storages tab.

SignNow currently supports the following cloud storage integrations: Google Drive, Dropbox, OneDrive for Business, Box, Egnyte, and DocuShare. Choose your preferred cloud storage service and click Connect. Follow the on-screen instructions to securely link your cloud storage account with your SignNow account.

You can connect multiple cloud storage accounts at the same time on My Account level. You can only connect one cloud storage through a similar panel in the Workspace's Cloud Storages as the workspace administrator.

Once your cloud storage account is connected to SignNow, you can export your documents either manually or automatically using the Automatically Export when Signed toggle.

If you enable this option, every document you sign or complete will be automatically copied and exported to your linked cloud storage account — ensuring your signed files are always backed up and easily accessible without any extra steps.

You can also choose whether to export documents With History or Without History from the dropdown menu:

  • Without History – Exports only the final signed document.

  • With History – Exports the signed document along with a detailed audit log that records all actions taken, such as who viewed, signed, or modified the document.

To view your exported files, log in to your connected cloud storage account and open the SignNow Exported Docs folder — all automatically exported documents will be stored there for easy access.

Selecting a Destination Folder

You can choose a folder of your choice when exporting the signed documents in My Cloud Storages. Click the Export button to prompt the Export All Signed Documents pop-up. Select one of the existing folders or create a new one through the +Add New Folder button. After, click the Export button to initiate the export.

To enable cloud export, click the profile icon on the top right to access My Account. From there, switch to the Cloud Storages tab under the Current Workspace.

Click the Connect button next to a specific cloud storage to connect. Siminarly to the Cloud Storage settings in My Account, you can opt to export the documents with/without history; however, you cannot select the destination folder, trigger manual export or connect more that one cloud storage at a time.
