Inline Typing for Signature and Initials

Recipients can now type their signature or initials directly inline in the Signature/Initials fields signing modal. This update makes it faster and easier to create a typed signature without extra steps and improves the overall signing experience.
This improvement reduces friction during signing and provides recipients with a quicker way to create and apply their signature or initials.

Custom Reports — Save and Reuse Your Filters

You can now save any report with your selected filters as a custom report.
This means you no longer need to reapply filters every time you open a default report.

All saved custom reports are available in a dedicated section, where they can be accessed in one click whenever you need them.

What this enables

  • Faster access to frequently used report views

  • Consistent reporting across admins

  • Less time spent configuring the same filters again and again

Scheduled Export for Essential and Custom Reports

We’ve introduced the ability to schedule exports for both Essential and Custom Reports.

With this update, users can automate report delivery at a defined frequency, ensuring timely access to the latest data without manual intervention. Scheduled exports help teams stay aligned, monitor key metrics consistently, and streamline reporting workflows.

Share Documents Anywhere

We’ve removed the barrier to sending invites. You no longer need a recipient's email address to start a signing session. With the new "Invite via Link" option, you have total control over how you deliver your documents.

How it works:

  1. Select "I Will Send Link Myself" in the recipient settings.

  2. Generate a unique Signing Link or QR Code.

  3. Paste the link in Slack, WhatsApp, Teams, or your preferred communication tool.

This gives you the flexibility to reach your signers where they are most active, without being tied to email.

Recipient-Specific Welcome Messages

We’ve updated the sending experience to give you more control over your communication. Previously, a single message was sent to all recipients. Now, you can tailor your instructions for every individual in the signing order.

Why use it?

  • Precision: Tell the "Signer" to sign page 3, while asking the "Approver" to review the budget on page 5.

  • Efficiency: Reduce back-and-forth questions by providing clear, personalized context right at the start.

  • Flexibility: Customize messages for invites sent via Email, SMS, or direct Signing Links.

Look for the "Customize Message" option the next time you send a document!

Recipient-Specific Welcome Messages

We’ve added the ability to customize a message for each recipient, which is automatically displayed at the start of the signing session.

This customization is available when preparing an invite sent via email or SMS, as well as for signing links and reusable signing links that the sender can share with recipients through any preferred channel.

Recipient Privacy in Multi-Recipient Signing

For signing workflows with multiple recipients, the signing experience previously displayed information about all recipients, including their email addresses, with no option for the sender to hide this data.

With this update, we’ve streamlined the recipient information shown during the signing process. The interface now displays details only for the current signer/approver/viewer and the sender, removing visibility into other recipients’ information. This helps improve privacy and better aligns with sender expectations.

Redirects After the Signing Session

We’ve added new redirect settings at both the Workspace level (Redirect Recipients in the Workspace Settings) and Invite page. You can now define where recipients go after completing, declining, or saving and closing a document. Redirects apply to all recipients on the invite for a consistent post-signing experience.

Improved Signing Session Experience

We’ve streamlined the signing flow on desktop and mobile to help recipients complete documents faster and more easily. Updates include clearer action prompts, reduced visual distractions, improved mobile field guidance and layout, and one-click signature and initial creation—all designed to boost completion rates.

We also added a new Workspace → Workflow Settings option: Automatically generate signatures for signers when filling out signature fields, giving organizations smoother, more efficient signing experiences.

Simplified self-signing and adding personal signatures or initials during document preparation

When placing a “My Fill Out Now” signature or initial field on a document, it will now auto-fill using the default signature — without requiring the user to select it manually each time.
If a different signature or initials are needed, clicking the field will open the signature modal, allowing the user to easily choose or change them.

Collect Payments on Document Groups

You can now request and collect payments directly on Document Groups. Add payment fields to any document within the group and streamline billing by collecting all payments in one signing flow. This update makes managing paid agreements simpler and more consistent.

Consolidated billing view for the API and Site License plans

The Plan Usage section under My Account now displays Billing Invites information for all subscription types, including API and Site License plans.
For convenience, the Billing Invites dashboard remains available in the API section for existing users who prefer the previous view.

New behavioral promotions for reporting

We've implemented a new backend-triggered system to show you relevant reporting promotions based on your actions. These pop-ups appear one at a time to guide you to useful insights.

  • Monitor your workspace: When a new member creates a document, admins will see a popup promoting the leaderboard for employee-sent invites.

  • Check template performance: If a user sends 3 invites using a template or document group template, admins, members, and users without an organization will see a promotion linking to the Template Usage Report.

  • The support button's position has also been updated.

Enhanced onboarding for reporting and new entry points

We've added new menu options and simplified onboarding to boost reporting engagement and make navigation easier.

  • New menu options: We've added new options in FolderApp for easier access to reports.

    • "Bulk Archive" has been replaced with a "Reporting by Documents" link.

    • "View Templates Usage Report" has been moved and now links to "Reporting by Templates".

  • Leaderboard access: Admins can now access the leaderboard from team spaces, documents, and templates sections, as well as from workspace settings.

  • Simplified onboarding: A new flow guides users through key reports (4 steps for admins, 3 for members).

  • Promo blocks: Admins and members will now see promotional blocks linking to "All Reports".

Restrict the ability to edit pre-filled text for the signer

Senders can now lock pre-filled text fields to prevent recipients from changing critical information like payment amounts or contract terms. This ensures data accuracy and supports secure, compliant workflows.

  • The new "Don’t allow recipient to edit" option is available in text field settings only when a pre-filled value is present.

  • When activated, the field becomes read-only for the signer, disables autofill, and displays a tooltip indicating it’s locked.

Unified template experience in team spaces

Organize smarter with our new unified template experience. Document Group Templates and regular Templates now live together in one streamlined list inside team folders.

  • Enjoy consistent folder navigation, bulk actions, and a familiar interface for managing all your templates in one place.

  • Team permissions and folder rules continue to keep collaboration easy and secure.

Redesigned Make Payment Modal

Enjoy a smoother, faster payment experience with our new, streamlined payment modal.

  • Simplified flow with fewer fields and clearer steps

  • Improved conversion rates with a more intuitive design

  • Built for future flexibility — ready to support multiple payment options like PayPal, Venmo, and ACH

Redesigned UI for managing recipients

Replaced the existing Manage Recipients pop-up with an alternative UI to improve the overall user experience.

Access Document Group creation UI in the editor

Add documents to an existing Document Group while in the editor. Upload documents from your device or select files stored in your account.

A new way to create a document

We've made some changes to how documents are managed in the product. When a user uploads a document, it automatically transforms into a merged Document Group. Users can conveniently add or remove documents from the Document Group right in the editor. We've also made improvements to the process of naming documents for better organization.

CFR-Compliant Mobile Web Signing

Organizations can now enable CFR Title 21 - Part 11 compliant document signing on the mobile web.

  • Mobile Web Signing can be enabled in Organization/Workflow Settings.

  • Signing Reason Modal ensures compliance during mobile signing.

  • Matches the desktop signing flow for a seamless experience.

Adding Seats on Trial Plan

This update brings seat-adding functionality to the Trial plan, aligning it with the previous trial experience.

Password Requirements & Enhanced Security

We’ve upgraded our security measures to better protect user accounts by enforcing stronger password rules and adding extra layers of protection. These updates strengthen account security and align with modern authentication standards, ensuring a safer user experience.

SMS Invites for Documents Groups and Group Templates

The SMS invite option is now available for Document Groups and Group Templates, extending the functionality of single-document SMS invites.

  • SMS invite option will be available for both Document Groups and Group Templates, similar to the existing SMS invites for single documents.

  • Users will see an SMS preview on the invite page.

Invoice Builder Functionality

We’re introducing the new Invoice Builder functionality, designed to help users create and customize invoices more efficiently.

  • Predefined Invoice Fields:

    • Includes fields such as "Billed To," "Invoice Number," and "Total."

    • Fields cannot be moved manually but can be deleted and re-added as needed.

  • Logo Upload: Users can upload a logo via a dedicated modal for better invoice customization.

  • Invoice Items Table:

    • An auto-expanding table allows users to easily add and edit invoice items.

SMS Verification Compliance: Opt-out Message Update

As part of ongoing compliance efforts and to improve the user experience, we’ve updated the default text in SMS verification messages to clearly inform users how to opt out of future messages.

  • Opt-out Message:

    • SMS verification messages now include a new line:

      • "Reply STOP to opt-out."

      • This message appears before the 2FA hash for Android users.

  • Confirmation:

    • Users who opt out will receive one final confirmation, and no further messages will be sent to them.

Extend Integration for New Countries for SMS Invites and Phone Authentication

As part of our internationalization efforts, we’re expanding our integration to support SMS invites and phone-based authentication in more countries.

  • SMS Invites & Phone Authentication:

    • These features are now enabled in additional countries marked as “Available for activation”.

    • This provides smoother onboarding and verification for users in more regions.

New authentication method: Require SignNow login (CFR compliance)

With the new authentication option, Login via SignNow, the sender can require recipients to log in to their SignNow account to access documents. Recipients can use an existing account or their company's SSO. If they don’t have an account, they will be prompted to create one.

Mobile Releases

1. Introduced a new empty state in the Document folder (Android)

Users can now prepare documents for an invite or self-signing directly from this screen.

2. Reorganized the choice menu in the Editor for better usability (Android)

Added a new option to download the resulting document directly from the Editor.

3. Improved audit trail for mobile app downloads

The audit trail now records the specific time a document is downloaded from the SignNow mobile app (iOS/Android). This provides a more accurate, time-stamped log of all document actions.
