When to Use Scheduled Invites
Scheduled Invites are useful in a wide range of real-world scenarios:
Business hours delivery — Ensure contracts and agreements land in recipients’ inboxes first thing in the morning on a workday, rather than late at night or over the weekend.
Campaign coordination — Sync document delivery with marketing launches, product announcements, or other time-sensitive events.
Deadline management — Schedule renewals, compliance documents, or HR paperwork to go out days or weeks in advance, keeping workflows on track without manual intervention.
Multi-timezone teams — Send invites so they arrive during business hours in a recipient’s local time zone, improving open and completion rates.
Approval pipeline staging — Sequence signing requests so that one party’s invite goes out only after an expected internal review window has passed.
Client relationship management — Schedule follow-up agreements or onboarding documents to coincide with a specific meeting, call, or milestone.
How Scheduled Invites Work
When composing an invite on the Invite to Sign page, you’ll notice the Send Invite button is now split into two options: send immediately or schedule for a later date and time. Selecting the schedule option lets you choose the exact date and time you want the invite to be delivered.
Step-by-Step Instructions
When your document is prepared, hit the Invite to Sign option and proceed to the Invite Page.
On the Invite Page, hit the arrow symbol on the right side of the Send Invite option and select the Schedule Send option.
Select the preferred date and time (in your local time zone) for the scheduled invite and hit Schedule Send again.
Once scheduled
The document appears in your account with a Scheduled status, making it easy to identify at a glance.
The invite is sent automatically at the chosen date and time — no further action needed on your part.
Time zone is determined by your (the sender’s) location.
📝 You do not need to be logged in or have the app open at the time of sending. SignNow handles delivery automatically.
Managing a Scheduled Invite
You can send the invite immediately, reschedule or cancel it at any time before it is sent. Navigate to the document in your account and use the Send Now / Reschedule / Cancel Send option. The document will change its state accordingly.
Editing a Document with a Scheduled Invite
If you need to make changes to a document that already has a scheduled invite, you can still open and edit it via the Edit Document button at the top right side. However, please be aware of the following behavior:
📝 If you edit a document before its scheduled invite is sent, the existing scheduled invite will be automatically canceled. You will need to reschedule the invite after saving your edits.
Shared Documents & Scheduled Invites
If you share a document that has a scheduled invite with another SignNow user, that user’s ability to view and manage the scheduled invite depends on their assigned role within that shared document.

Who Can Use Scheduled Invites
Scheduled Invites are available on select SignNow subscription plans. The following plan types do not have access to this feature:
Business plan
Expired / inactive plans
How Limits & Package Deductions Work
Scheduled invites follow the same rules as regular invites when it comes to limits and package deductions — with one key distinction: deductions are applied at the moment the invite is sent, not when it is scheduled.
📝 If you schedule an invite but it is never sent (e.g., it is canceled), it will not be deducted from your plan.
This means:
If your invite limit is exceeded at the time of sending, the scheduled invite will not go out.
If your package has been fully used at the time of sending, the scheduled invite will not go out.
In both cases, you will receive an email notification, and the document will display a Delivery Failed status in your document list.
Delivery Failed Status
In some situations, a scheduled invite may not be delivered. When this happens, the document is marked as Delivery Failed. This status can occur when any of the following conditions are true at the time the invite was set to send:
Your subscription expired before the scheduled send time.
Your subscription plan was changed to Business before the scheduled send time. Scheduled sending is unavailable for Business/Personal plan.
Your invite limit was reached or your package was fully used at the time of sending.
📝 If your document shows a Delivery Failed status, check your subscription plan and invite limits, then reschedule or manually send the invite once the issue is resolved.
