Customizing your email branding in SignNow lets you present a consistent, professional image every time you send a document for signing. By adding your company’s logo, colors, and custom messaging, you transform standard signing invitations into branded communications that build trust and recognition.

This feature is especially valuable for organizations that send documents to clients, partners, or customers on a regular basis. Consistent branding not only strengthens your company’s identity but also reassures recipients that the signing request is legitimate and secure.

With SignNow’s Workspace Email Branding settings, you can personalize your signing experience across all invites — helping you maintain a polished, on-brand look while keeping your workflows efficient and compliant.

1. In your SignNow account, click your profile icon in the top-right corner, then select My Account from the dropdown menu.

2. Go to the Branding and Customization tab to start customizing your email templates. You can create and have multiple theme presets, but one of them will be set as the default. You will be able to switch between the branding options on the Invite Page.

The theme configuration settings in SignNow let you fully customize the look and feel of your email invitations and signing experience to match your brand identity. These options help create a polished, professional appearance that reinforces trust and consistency across all communications.

Available Theme Customization Options:

  • Logo – Upload your company logo to replace the default SignNow logo displayed in all email invites and signing pages. The recommended aspect ratio for your custom branding logo is 340:70. This ratio ensures your logo displays correctly across all email and signing views, as the aspect ratio—not exact dimensions—is what determines how the image is rendered.

  • Logo Positioning – Choose how your logo appears in emails and on signing pages: left, center, or right aligned.

  • Button and Text Colors – Adjust the primary and secondary colors used in buttons, links, and text to match your brand’s color palette.

  • Invite Email Headline – Personalize the main heading that appears at the top of your email invitations.

  • Customize Message – Tailor the body text of your invite email to include a personalized greeting, instructions, or company messaging.

  • Contact Sender Email – Define the sender contact email address that recipients can reply to if they have questions.

  • Footer Signature – Add a custom signature, tagline, or disclaimer to appear at the bottom of all outgoing emails.

  • Remove SignNow References – Optionally remove SignNow branding elements to maintain a white-labeled experience for recipients.

Preview and Testing Options:

You can preview how your theme will appear in real time using:

  • Email Preview – See how your customized branding looks in email invitations sent to recipients.

  • Document Signing Preview – Review how your brand will appear on the signing page interface.

To ensure everything looks perfect before applying, click Send Test Invite to send yourself a sample email with the new theme.

Once you’re satisfied with the setup, click Save and Set as Default to make it your active branding theme, or simply Save to store it for later use.
